Lead management
Real estate lead management: how to organize source, stage and conversion
Real estate lead management is the process of capturing, qualifying, distributing, serving and tracking opportunities until visit, proposal or sale.
Direct answer
Practical guide to manage real estate leads with source, score, pipeline, timeline, team and reports.
Questions and answers
What data should a real estate lead have?
Name, phone, source, campaign, city, property type, budget, stage, temperature and conversation history.
How to distribute leads in a real estate agency?
Use an online queue by time window, participating users and rules to route leads to whoever is available.
How to measure lead quality?
Compare source, campaign, temperature, scheduled visits, conversion by stage and response time.
Can I delete a lead?
Yes. Deleting asks for a reason (no budget, not interested, stopped replying, etc.) and the lead moves to "Deleted leads", where it can be restored anytime. Permanently deleting (no undo) is a separate permission: on the Enterprise plan, only the billing account owner can grant that permission to other team members.
Is a lead visible to the whole team?
Not by default. Only the assigned agent (the lead's owner) sees the lead and its conversation history. A teammate only gets access if you transfer the lead to them — the transfer changes the owner and keeps the whole history, with no lost context.
How to apply it in practice
- 1. Standardize entry sources such as WhatsApp, Meta Ads and Google Ads.
- 2. Qualify the lead with short, objective questions.
- 3. Use score and stage to prioritize service.
- 4. Record each update in the timeline.
- 5. Export reports by period for commercial decisions.
